Terms and Conditions
The general terms and conditions of Grand Hotel Karel V apply to regular reservations made via the hotel website or via the
reservations department of the hotel. They are also applicable to reservations made through WorldHotels channels. For all reservations the UVH terms and conditions apply, unless otherwise agreed in writing. These can be found here.
Individual reservations (up to 8 rooms)
An individual reservation is spoken of when you reserve a minimum of 1 to a maximum of 8 rooms for the same party. When you make a reservation for 8 rooms or more, Grand Hotel Karel V reserves the right to treat this reservation as a group reservation and the conditions for a group reservation with hotel stay apply.
Group reservations - hotel accommodation (from 8 rooms)
When a reservation for lodging only, with or without breakfast, is made for a group then the following will apply to a cancellation of that reservation (unless otherwise agreed in writing). In case of cancellation within the cancellation conditions, Grand Hotel Karel V will charge the following percentages of the full reservation value (with or without breakfast) as cancellation costs:
More than three months prior to your arrival, we will charge 0% of the full reservation value as a cancellation fee.
Within three and two months prior to your arrival, we will charge 15% of the full reservation value as a cancellation fee.
Between 2 and 1 month before your arrival, we will charge 35% of the full reservation value as a cancellation fee.
Between 31 and 14 days prior to your arrival, we will charge 60% of the full reservation value as a cancellation fee.
Between 14 and 7 days prior to your arrival, we will charge 85% of the full reservation value as a cancellation fee.
Within 7 days prior to your arrival, we will charge 100% of the full reservation value as a cancellation fee.
If your reservation confirmation and agreement states that cancellation is free of charge until 31 days prior to arrival, the following percentages apply for a cancellation within the stated cancellation period:
Up to 31 days prior to your arrival, we will charge 0% of the full reservation value as a cancellation fee.
Between 31 and 14 days prior to your arrival, we will charge 50% of the full reservation value as a cancellation fee.v
Between 14 and 7 days prior to your arrival, we will charge 75% of the full reservation value as a cancellation fee.
Within 7 days prior to your arrival, we will charge 100% of the full reservation value as a cancellation fee.
Group reservations - Dinner only
When a reservation for only a catering service consisting of the provision of food and/or beverages (table reservation) is made for a group then the following percentages of the total reservation value will be charged in case of cancellation within this period:

If a reservation is made for a group then the following applies to cancellation of that reservation:
For more than 6 months until your arrival, we will charge 0% of the full reservation value as a cancellation fee.
Between 6 and 3 months before your arrival, we will charge 10% of the full reservation value as a cancellation fee.
Between 3 and 2 months before your arrival, we will charge 15% of the full reservation value as a cancellation fee.
Within 2 months and 1 month before your arrival, we will charge 35% of the full reservation value as a cancellation fee.
Within 31 and 14 days prior to your arrival, we will charge 60% of the full reservation value as a cancellation fee.
Within 14 and 7 days prior to your arrival, we will charge 85% of the full reservation value as a cancellation fee.
Within 7 days prior to your arrival, we will charge 100% of the full reservation value as a cancellation fee.
Last minute group reservation
When you make a reservation with an arrival date within 2 weeks of the application date it is called a last minute reservation. Where normally a non-binding option of 2 weeks applies, for a last minute reservation the reservation can only be put in the system for you if you confirm within 48 hours and make a deposit.
Optional reservations
For group reservations, a 2-week no-obligation option may be requested upon receipt of the quotation. When this 2-week option period is over, the hotel can only confirm the reserved group upon receipt of a signed agreement and payment of a deposit. Depending on when the group will be staying will vary.
Extended option
When the standard option period of 14 days has expired, please inquire whether it is possible to extend your option. When we extend the option we would like to hear from you for how long this is desired. The hotel reserves the right to contact you when a new request is received. When this is the case we ask you to make a decision about your reservation within 24 hours.
